Title : Event Crew

Reports To: Lead & Project Managers 

FLSA Status:  Non- Exempt 

Summary : The Event Crew supports the successful execution of events by assisting with the installation, staging, and breakdown of event environments at various venues around the country. Working alongside the production, warehouse, and design teams, this role helps bring event concepts to life through the careful placement of furnishings, décor, and production elements. The Event Crew plays an important role in ensuring that events are executed efficiently, safely, and in alignment with company standards. 

This position requires a strong work ethic, attention to detail, and the ability to work collaboratively in a fast-paced, dynamic environment. Crew members are responsible for following production plans, assisting with load-ins and load-outs, and supporting the team in maintaining a professional presence at event sites. The role involves lifting and moving event inventory, assembling décor elements, and ensuring all items are handled with care. 

ESSENTIAL DUTIES & RESPONSIBILITIES 

  • Assist with event load-in, installation, and setup of furnishings, décor, staging, and other production elements according to event plans and timelines. 
  • Unload trucks and transport event materials into venues safely and efficiently, following direction from event leads or production supervisors. 
  • Place and install event elements including lounge furniture, décor pieces, tableware, bars, dining tables and chairs, lighting, staging components, and other design elements with attention to detail and care. 
  • Follow floor plans, installation diagrams, and production instructions to ensure accurate placement and presentation of all event materials. 
  • Maintain a professional and respectful presence at client venues, working cooperatively with venue staff, vendors, and other event partners. 
  • Assist event leads and supervisors in ensuring that setup timelines are met and installations are completed efficiently .  
  • Help maintain clean, organized, and safe workspaces during event setup and breakdown. 
  • Protect and handle all inventory and equipment carefully to prevent damage during installation and removal. 
  • Assist with event strike and load-out, including disassembly, packing, and safe return of inventory to transport vehicles. 
  • Report any damaged, missing, or malfunctioning equipment to the event lead or production supervisor. 
  • Work collaboratively with the production, warehouse, and design teams to ensure events are executed according to company standards. 
  • Follow all safety procedures and proper lifting techniques when handling event materials and equipment. 
  • Support additional production tasks as assigned to ensure the overall success of the event installation and breakdown.

Qualifications  

  • High school diploma or GED 
  • Experience with driving box trucks including mountain driving preferred 
  • Event industry experience preferred 
  • Ability to work in a fast-paced, physically active environment and adapt to changing event timelines or conditions. 
  • Strong teamwork and communication skills , with the ability to take direction from event leads, production managers, and supervisors. 
  • Professional demeanor when working in client-facing environments such as hotels, venues, and private properties .  
  • Ability to lift and move event materials & inventory up to 200 pounds , with or without assistance. 
  • Comfortable working in indoor and outdoor environments and in varying weather conditions when events require. 
  • Good understanding of safe material handling and proper lifting techniques .  
  • Ability to travel domestically on a regular basis and the ability to travel internationally if needed 
  • Must have a flexible schedule which may also include nights, holidays, and weekends 
  • Knowledge of safety policies in a warehouse setting preferred 
  • Special skills such as wood working, furniture repair, painting, and power tool use preferred 
  • Strong communication skills; ability to maintain transparent communication with management, teams and co-workers. 
  • Self-starter with strong initiative and ability to manage a large variety of tasks simultaneously. 
  • Must be eligible to work in the U.S. 

Physical Demands & Work Environment  

The Event Crew will work in a variety of settings that includes warehouse spaces, indoor and outdoor venues, and outdoor open spaces. The role requires the ability to remain stationary for up to 50% of the time, as well as the ability to consistently lift or move up to 200 pounds. Specific visual abilities include close vision and the ability to adjust focus. Evening, weekend, and holiday work is required to support operational needs.
